Office Administrator Position
 
Objective: Wisconsin Voices seeks an experienced office administrator with a commitment to our vision of social justice to provide clerical and administrative support. The position is located in Milwaukee, WI.
Organizational Background: Wisconsin Voices, a 501c3 nonprofit nonpartisan organization, is a dynamic network providing support and resources to build capacity and leadership in organizations that share our values. Wisconsin Voices weaves together connections between and among organizations to enhance collective impact and improved effectiveness. Wisconsin Voices works in alliance with State Voices, a national network of 22 state networks consisting of over 700 diverse and talented organizations working for change. Primary Duties and Responsibilities:
  • Provide clerical support including typing, minute taking, filing, data input, and maintenance and management of information
  • Attend meetings, conferences and convenings as directed by Executive Director
  • Prepare and maintain full and accurate financial records of all transactions, including preparing and processing accounts payable and receivable
  • Prepare and maintain all human resources records in accordance with Wisconsin Voices operational requirements
  • Update and maintain policy and procedures to ensure they are consistent and institutionalized
  • Update and maintain reporting deadlines and prepare and assist in the collection of data for monthly, quarterly and/or annual reports
  • Undertake ongoing training and professional development appropriate to effectively fulfill required duties
  • Receive and distribute mail and email
  • Maintain office inventory, equipment and supplies
  • Communicate with partners and public, and receive and route phone calls and messages
  • Update and send weekly partner email communications
  • Update and maintain filing systems and organizational calendar
  • Update and submit partner re-grants, contracts, and memorandum of understandings (MOUs)
  • Organize and provide logistics for meetings and conferences
  • Arrange travel logistics and itineraries
  • Update Wisconsin Voices website as needed
  • Support the Executive Director and Wisconsin Voices team in administrative and organizational needs
Qualifications:
●      A demonstrated commitment to the shared values of Wisconsin Voices organizations
●      Excellent and proven written, verbal and interpersonal communications skills including ability to produce effective flyers, email updates, and social media and website posts
●      Excellent and proven computer skills including email, composing documents, designing flyers, working with data bases, and social networking.  Proficient in the use of Microsoft Word and Excel, Google email, shared calendar and documents, and office equipment including fax, scanner, printer, phone and copier.
●      Able to work effectively and collaboratively with diverse groups of people
●      Willingness to travel throughout Wisconsin as needed
●      Good personal organization, time management and planning skills, along with a demonstrated aptitude for taking the initiative on projects
●      Able to work well as a team member
●      Strong work ethic
●      Willingness to work evenings and weekends
●      Excellent attention to detail and accuracy
●      Excellent project management skills
●      Ability to work in fast-paced environment, juggle multiple projects, and meet deadlines
●      Willingness to work part-time, with the potential to expand to full-time hours in the future
 
Wages: This is a part-time position (20 hours per week), with the possibility to expand to full-time (30-40 hours per week plus benefits), and includes an hourly wage commensurate with experience.  
Reporting: This position reports to the Executive Director of Wisconsin Voices
